All licensed public or private nonprofit child care centers may participate in the CACFP. For-profit centers that serve 25 percent or more low-income children are also eligible. Child care homes must be licensed to qualify for the program.

Child Care Centers should contact micenters@acdkids.org, and Homes should contact mifrontdesk@acdkids.org. An ACD Field Monitor will conduct a pre-approval visit at your facility to ensure that you qualify and comply with CACFP rules and regulations.

Documents that you must have on hand before ACD’s pre-approval visit include:

• Copy of your state child care license
• Proof of eligibility:
  • Non-profit institutions: Please submit a copy of IRS 501 (c)(3) Tax-exempt Letter
  • Private for-profit institutions: Please submit copies of all of the facility's CACFP Annual Enrollment Forms
• Copies of completed Household Income Eligibility Statements, which determine the percentage of eligible children at your facility
• If using a catering service: a copy of your Vendor Agreement for catered meals

An approval date is determined once a child care facility submits the required pre-approval and eligibility documents.

  • CACFP annual enrollment forms*
• Meal counts
  • Daily meal participation records for all meals claimed
• Menus and meal service
  • Menus served for all age groups for the entire month for all meals claimed
  • Medical exception statements*
  • Infant Formula/Food Waiver Notification Form*
• Expenditures (centers only)
  • Itemized receipts for food, milk, and other allowable expenses
  • Documentation for vended meals (if applicable)
  • Personnel Activity Report for both administrative and food service staff

*As you enroll new children, you must submit new applications, enrollment forms, medical exception statements (as necessary), and infant waivers (as necessary). These are filed with your annual documents.

Reimbursement claims are typically processed the month following the month claimed. For example, May claims that are submitted to the ACD office in early June would usually be reimbursed during the month of June. This process is subject to change based on MDE and USDA regulations.
